Privacy notice

Information on personal data processed through our websites under the Turkish Personal Data Protection Law No. 6698 (KVKK).

1. Data controller

This notice covers personal data processed through the cosel.com.tr, coselium.com.tr and coselium.com websites and the dealer portal (bayi.coselium.com).

2. How we collect data

We collect personal data through the contact, quotation and support forms on our websites, the dealer portal, email and the shipping details of devices sent to us for service. Form and portal records are processed by automated means; email, written requests and shipping documents by non-automated means.

3. Personal data processed

  • Identity and contact: name, company, job title, email address, phone number
  • Request content: contact message, quotation and support description, product and serial number, files you attach, RMA records
  • Dealer portal: user account, the company it belongs to, last sign-in time, failed sign-in attempts, document and file download records
  • Shipping details: sender and recipient name, address, phone number and tracking number for devices sent to us for service and returned
  • Transaction security: IP address, browser information, time of the action
  • Consent records: notice version, consent and marketing preferences with timestamp

4. Purposes and legal grounds

  • Answering contact and quotation requests and handling sales: necessity for entering into or performing a contract (KVKK Art. 5/2-c) and our legitimate interest (Art. 5/2-f)
  • Logging, tracking and resolving support, service and RMA requests: performance of a contract (Art. 5/2-c) and our legal obligations (Art. 5/2-ç)
  • Opening and managing dealer portal accounts and providing documents, software and training to our dealers: performance of the dealer agreement (Art. 5/2-c)
  • Information security, preventing unauthorised access, abuse and automated submissions, keeping download records: our legitimate interest (Art. 5/2-f)
  • Keeping consent and request records and evidence in possible disputes: establishing, exercising or protecting a right (Art. 5/2-e) and legal obligation (Art. 5/2-ç)
  • Commercial electronic messages about our products and services: only with your explicit consent (Art. 5/1 and Law No. 6563)

5. Transfers

Limited to the purposes above, your personal data may be shared with:

  • The partner dealer in your region, when your request is to be handled by that dealer (Art. 5/2-c)
  • Niobe Bilişim Ltd. Şti. (Niobeweb), the provider of our server and email infrastructure (servers located in Türkiye) (Art. 5/2-c and Art. 5/2-f)
  • Shipping companies, to return repaired devices to you cash on delivery (Art. 5/2-c)
  • Our financial adviser (mali müşavir), to meet our tax and accounting obligations (Art. 5/2-ç)
  • Competent public authorities and courts, on request (Art. 5/2-ç)

Your personal data is not transferred abroad. Our websites, the dealer portal, form verification (bot protection), email and backups run on servers in Türkiye; we use no content delivery network, verification or analytics service located abroad.

6. Retention

  • Contact and quotation messages: 24 months
  • Support, service and RMA records: 60 months
  • Dealer portal accounts and download records: for the duration of the dealer relationship and the statutory limitation periods after it ends
  • Consent and request records: for the applicable limitation periods

Expired form records are anonymised automatically; other records are deleted, destroyed or anonymised. Longer periods required by law are reserved.

7. Your rights

Under KVKK Art. 11 you may apply to the data controller to:

  • learn whether your personal data is processed,
  • request information if it has been processed,
  • learn the purpose of processing and whether it is used accordingly,
  • know the third parties in Türkiye or abroad to whom it is transferred,
  • request correction if it is incomplete or inaccurate,
  • request erasure or destruction under the conditions of KVKK Art. 7,
  • request that corrections, erasure and destruction be notified to the third parties it was transferred to,
  • object to a result against you arising solely from automated analysis,
  • claim compensation if you suffer damage from unlawful processing.

8. How to apply

You can send your request as a signed letter to İvedikköy Mah. İvedik Cad. No:245/30 Şahin Plaza İvedik / Yenimahalle / ANKARA, Türkiye, in person, through a notary or by registered mail with return receipt; signed with a secure electronic or mobile signature; or to info@coselium.com.tr from an email address you have previously given us and that is registered in our systems.

Your request must include your name, your signature for written requests, your Turkish ID number (for foreign nationals, nationality and passport or ID number), your residential or business address for notification, your email address and phone number if any, and the subject of your request.

Requests are resolved free of charge as soon as possible and within 30 days at the latest; if the action involves an additional cost, the fee in the Board’s tariff may be charged. If your request is rejected, you find the answer insufficient or no answer is given in time, you may file a complaint with the Personal Data Protection Board within 30 days of learning the answer and in any case within 60 days of your request.
